Smart Collections
PRO
Smart collections automatically filter your sets, catalog, parts, or minifigures based on conditions you define — like Smart Albums in Apple Photos.
Creating a Smart Collection
- Click the + button in the Smart Collections sidebar section
- Or use File → New Smart Collection (⌘⌥N)
- Choose a source: My Collection, Catalog Sets, My Minifigures, Catalog Minifigures, My Parts, or Catalog Parts
- Add one or more filter conditions
- Optionally enter a name — if left blank, a name is generated automatically from your conditions
- Choose an icon, display mode, and sort order
- Click OK
The live match count at the bottom updates as you adjust conditions, showing how many items match.
On iPhone and iPad
- Tap New Collection… in the Smart Collections section of the home screen (iPhone) or sidebar (iPad)
- On Choose a Source, tap what you want to filter: My Collection, Catalog Sets, My Minifigures, Catalog Minifigures, My Parts, or Catalog Parts
- Tap Add Condition (or Add Part / Add Minifigure) and set each condition
- Optionally tap the icon to change it and type a name
- Choose Display and Sort By
- Tap the ✓ button at the top right to save
Conditions
Each condition has three parts:
- Field — what to filter on (year, theme, condition, etc.)
- Operator — how to compare (is, contains, is greater than, in range, etc.)
- Value — what to compare against
Multiple conditions are combined with AND logic — all conditions must match.
Available Fields
My Collection (Sets)
Year, Theme, Theme & Sub-themes, Piece Count, Minifigure Count, Set Number, Favorite, Disposed, Date Added, Acquisition Type, Condition, Built Status, Sticker Status, Completeness, Price Paid, Retired, Parts Tracked, Parts Checklist, Has Instructions, Contains Part
Catalog Sets
Year, Theme, Piece Count, Minifigure Count, Set Number, Name, In My Collection, On My Wishlist, Contains Part
My Minifigures
Name, Figure Number, Date Added, Favorite, Source, Condition, Contains Part
Catalog Minifigures
Name, Figure Number, Parts, Contains Part
My Parts
Part Number, Name, Color, Category, Quantity in Sets, Number of Sets, Quantity Tracked
My Parts covers every part in the sets you own — you don’t need to tick anything off in a parts checklist first. Each part and colour appears once, with its total across your sets (two copies of a set count twice) and how many of your sets contain it. Spare parts aren’t counted, and sets in the Trash are left out. Quantity Tracked is how many you’ve ticked off in parts checklists; add “Quantity Tracked is greater than 0” to list only parts you’ve tracked.
Catalog Parts
Part Number, Name, Category, Color
Contains Part / Contains Minifig
The Add Part and Add Minifig buttons in the editor add conditions that match sets containing a specific part or minifigure. Use the part picker to choose a specific part (optionally narrowed to a colour group), or use the name field to match by part name.
Minifigure collections have Add Part too: it matches minifigures made with that part — for example every minifigure with a particular hat or torso. You don’t need to know the part number; search the picker by name.
Themes, Minifigures, Parts Checklist & Instructions
- Theme & Sub-themes — pick a theme and every set in it or any of its sub-themes matches. For example, Star Wars finds sets from every Star Wars sub-theme, and is not leaves them all out.
- Minifigure Count — how many minifigures come with the set, from the catalog. Use is, is greater than, is less than, or in range. Sets that aren't in the catalog don't match.
- Parts Checklist — how far you are with a set's parts checklist: Not Started (nothing ticked off), In Progress (some parts ticked off), or Complete (every part in the checklist ticked off). Each copy of a set is checked separately.
- Has Instructions — sets whose building instructions Afolio has already found on this device. Instructions are looked up when you open a set, so sets you haven't opened yet don't count.
Display Options
Each smart collection can display results as a list or grid. Choose a sort order (name, year, or date added) and ascending or descending.
My Parts collections show a list of parts with the picture, part number, name, colour, quantity in your sets, number of sets and quantity tracked. On the Mac, click a column heading to sort; on iPhone and iPad, use the Sort menu. Select a part to open its details, including which sets contain it.
Exporting Results to CSV
Click the Export button (a square with an arrow pointing up) in a smart collection’s toolbar (on iPhone and iPad, tap it at the top of the collection) to save the results you’re looking at as a CSV file you can open in Numbers, Excel or Google Sheets. If you’ve typed in the search field, only the matching results are exported.
- My Collection — uses the same format and options as the full collection export (reference IDs and parts checklist data), so the file can be imported back into Afolio
- Catalog Sets — set number, name, year, theme, piece count and whether you own it
- My Minifigures — figure number, name, parts, how many you have, where they came from and favourite
- Catalog Minifigures — figure number, name, parts and whether you own it
- My Parts — part number, name, colour, category, quantity in sets, number of sets and quantity tracked
- Catalog Parts — part number, name, colour and category
On the Mac you choose where to save the file; on iPhone and iPad you pick a location in Files.
Icon
Pick an icon for the smart collection from the icon picker. The picker includes custom Afolio symbols (brick, minifig) alongside a curated set of SF Symbols.

Managing Smart Collections
Right-click a smart collection in the sidebar to:
- Edit — modify conditions, icon, or display settings
- Duplicate — create a copy to use as a starting point
- Export — save to an
.afoliocollectionfile - Delete — permanently remove (with confirmation)
Drag to reorder smart collections in the sidebar.
On iPhone and iPad: to edit a smart collection, open it and tap Edit (the sliders button) at the top, or touch and hold the collection on the home screen or in the sidebar and choose Edit…. Touch and hold also offers Delete, which asks for confirmation. Duplicating and reordering are only on the Mac.
Exporting & Importing
Smart collections can be exported as .afoliocollection files and shared with other Afolio users.
Exporting and importing .afoliocollection files is done on the Mac. Your smart collections sync to iPhone and iPad through iCloud, so collections you import on the Mac appear there too.
Exporting
- Single collection — right-click a smart collection in the sidebar and choose Export
- All collections — use File → Export Smart Collections
The exported file contains the collection name, icon, filter conditions, and display settings — no personal data or set inventory.
Importing
- Use File → Import Smart Collections and select an
.afoliocollectionfile - Or drag and drop the file onto the Afolio window
A confirmation prompt shows how many collections will be imported. Duplicates (collections with the same filters) are detected and skipped automatically.
